Quayledger operations guide

Inbound freight, from file to follow-up

Use this guide to reconcile shipment and invoice files, inspect exceptions, review dock appointments, and handle dispute drafts with an operator in control at every step.

Operational screens and uploaded shipment data require a signed-in account. Uploads also require edit access to the selected retailer scope. An unsigned upload receives HTTP 401; a scope without edit access receives HTTP 403.

The inbound freight workflow

These steps describe controls available in the current Quayledger interface.

01 · Reconcile the files

Upload a BOL and freight-invoice CSV

Sign in as an operator with edit access to the retailer scope. At Inbound shipments, select one Bill of Lading CSV and one freight-invoice CSV. Each file must be under 5 MiB. Choose the required retailer and, if needed, a banner and distribution center, then select Reconcile batch.

BOL columns

bol_number, po_number, item_sku, weight_lbs, freight_class, accessorials, carrier, destination, planned_at

Invoice shipment columns

invoice_number, po_number, item_sku, weight_lbs, freight_class, accessorials

For explicit invoice charge lines, use the columns below. Provide charge_type and charge_amount_cents together; charge_label and charge_disputed are optional. Repeat the shipment row once for each charge line:

charge_type, charge_amount_cents, charge_label, charge_disputed

Quayledger matches records on PO + item. Invoice weight may differ by up to 5%; freight class must match exactly, and accessorial codes are compared as sets. Uploading the same PO + item again replaces its current reconciliation rows instead of adding a duplicate.

02 · Review the results

Follow mismatches and accessorial lines

After reconciliation, review the match, mismatch, and delayed counts. Use the shipment ledger to filter by carrier, destination distribution center, banner, date range, or status. Open a shipment to inspect its BOL and invoice fields, charge lines, field-level differences, delay reasons, and notes.

The Accessorial charges screen pairs invoice accessorial lines with configured thresholds and links back to each shipment.

03 · Handle dock appointments

Review an existing appointment

In the weekly dock calendar, open an existing appointment to inspect its linked BOL. You can move it to a valid operating-hours slot, edit operator notes, and mark it overridden.

These controls update an appointment already in Quayledger. They do not create a new carrier booking or send a schedule to a trading partner.

04 · Review dispute drafts

Keep approval and follow-up with the operator

In Negotiations, or open a shipment with a supported invoice charge to prepare a draft. Record actual gate-in and gate-out times before drafting detention or layover disputes. In Negotiations, save edits, approve into Queued, then send as a separate action. Use the operator controls to record a response and resolution manually.

AI drafts require operator review, saved edits, and explicit approval before a send. Sent records email-proxy acceptance, not carrier delivery or reading. Sample drafts are visibly illustrative, use an unsendable recipient, and do not record sent or responded history. Quayledger does not automatically approve or negotiate disputes.

05 · Review carrier performance

Compare recent exceptions and shipment activity

In the carrier directory, search by carrier and sort the list by its trailing-30-day exception rate. Open a carrier to review active shipments, its trailing-window exception count and rate, recent exceptions, and shipment activity.

These screens support performance review and shipment drill-down. They do not edit carrier records or manage dispatch.

06 · Inspect audit history

Review the chronological event feed

Open Audit history to inspect the chronological agent and operator event feed. Set a from and to date, then apply the range to narrow the entries. Shipment references link to their shipment records; other event types may not have a destination link.

07 · Compare banners

Use the roll-up to focus a banner's shipments

On the banner roll-up, compare sister banners by line-haul-plus-accessorial spend, shipment count, exception count, accessorial dollars, and the on-time proxy. Search or sort the list, focus a banner, and open its shipments for a drill-down.

The on-time figure uses status === 'match' as a proxy. A matching status does not mean there were no accessorial charges.
